Privacy Policy
This version applies to you from the day you register. If you created your account under an earlier version, it applies to you from November 2, 2026, and the earlier version applies until then. Read the earlier version (Privacy Policy 1.1, April 14, 2026).
In short
- WiHire is for job seekers aged 18 or over who live in the United States.
- We collect what you give us (your account details, resume, profile and the job descriptions you upload) and what is created when you use WiHire (match estimates, drafts, practice interview transcripts and payment records).
- When you are signed in, we record what you do on WiHire against your account. It is not anonymous.
- We use AI from Anthropic, and voice technology from ElevenLabs, to produce what you ask for.
- We do not share your profile with employers of listed jobs. We show no ads and do not sell personal data.
- You apply for jobs on other sites. Their privacy policies apply there, not this one.
- You can ask for a copy of your information, ask us to correct it, or ask us to delete it.
1. Who we are
WiHire (wihire.ai) is a job search service for job seekers in the United States, operated by PIXONIQ LLC, a Michigan limited liability company. It shows job listings from other sources, estimates how your resume aligns with a job description, and offers paid drafting and practice tools.
This policy explains what we do with your information. WiHire is offered in the United States only, to people aged 18 or over.
2. What we collect
2.1 What you give us
- Account details. Your legal name, preferred name, email address and password. Your password is kept in protected form by our sign-in provider. We also keep the setup for two-factor sign-in.
- Profile. Career level, years of experience, headline, work preference, pay range, location and similar job search details you enter.
- Resumes. The files you upload and the text we extract from them, including the contact details in them.
- Job descriptions you upload. Text or files you add in Personal Network.
- What you type into WiHire. For example the names and notes you enter for a thank you note, or a reason you give when you report a listing.
- Practice interviews. What you say in a session. Section 7 explains how voice is handled.
- Messages you send us. Emails and support requests.
2.2 What is created when you use WiHire
- Match estimates. The number, the reasons and the dimension scores for each job.
- Drafts. Tailored resumes, cover letters and thank you notes made for you.
- Practice interview transcripts and reports.
- Your job list. Jobs you saved, hid, reported or marked as applied, and interview rounds you record.
- Payment records. Deposits, paid actions, promotional credits and refunds. Your card details go to Stripe, not to us.
- Consent records. What you agreed to, the document version, and the date and time, with your browser's user agent. For a practice interview we also record your IP address with the consent.
2.3 What we collect automatically
- Activity on WiHire. See section 3.
- Device and connection details. Your IP address and browser details reach us and our hosting provider with every request. We use them for security, for the consent records described above, and as part of the activity record.
- Approximate location. When you register, our hosting provider tells us the country, state and city it associates with your connection. We store the state with your consent record.
2.4 What we do not ask for
We do not ask for sensitive details such as race, religion, health or disability. Please leave them out of your resume, along with any Social Security number or bank details.
3. Activity on WiHire, cookies and similar technologies
3.1 Activity linked to your account
When you are signed in, we record product events in our own database, linked to your account. For each event we record the event name, the page, the time and your browser's user agent. For most events we also record the ID of the job match involved. Examples:
- you open the details of a match or view the job description;
- you mark a job as applied, hide it or report it;
- you change a filter, including a location you type into it;
- you create or download a tailored resume or a cover letter; and
- how many results a search of your own matches found.
We do not record the words you type when you search your own matches. If a page hits an error, we record the error with the same details.
We use this information to run, secure, fix and improve WiHire and to understand which features are used. We do not sell it, give it to advertisers, or use it to track you on other websites. Because it is linked to your account, it is not anonymous. We also produce totals that do not identify anyone.
Recording this activity is part of how WiHire works. It is not an optional setting.
3.2 Cookies and local storage
WiHire's own pages do not set advertising or tracking cookies.
- Sign-in. We keep you signed in by storing a sign-in token in your browser's local storage.
- Small preferences. We store small settings in local storage, such as a notice you dismissed.
- Cloudflare. Our hosting and security provider may set cookies it needs to protect the site, and runs a check at registration to tell people from bots.
- Stripe. Pages where you can add money load Stripe's code, and Stripe may set cookies it needs to process payments and prevent fraud.
3.3 Other providers that receive a page request
Most pages load fonts from Google Fonts. Some pages load a code library from jsDelivr. All pages are served through Cloudflare. Each of these receives your IP address and browser details when a page loads. Cloudflare gives us traffic and performance statistics for the site.
3.4 Do Not Track
We do not respond to Do Not Track signals, because we do not track you across other websites. We do not let advertisers collect information about you on WiHire. The providers named in 3.2 and 3.3 receive the details described there under their own policies. Because other websites use the same providers, a provider may be able to recognize your browser across the websites that use it.
4. How we use your information
We use your information to:
- create and secure your account;
- show you job listings;
- produce match estimates by comparing your resume and profile with a job description;
- draft the resumes, cover letters and thank you notes you ask for;
- run and score practice interviews;
- take payments and handle refunds;
- send service emails, such as receipts, a low balance notice, updates on your matches and notices about these policies;
- keep the activity record described in section 3; and
- prevent fraud and misuse.
We do not use your information for advertising. WiHire does not train AI models on your content.
5. How WiHire uses AI
- What AI does. AI reads your resume, produces match estimates and their explanations, drafts tailored resumes, cover letters and thank you notes, and scores practice interviews and writes the reports.
- What goes in. The text of your resume, details from your profile such as career level and years of experience, and the text of the job description. For a thank you note, the names and notes you enter. For a practice interview, the transcript of what was said.
- Who provides the AI. Our AI model provider is Anthropic. Our voice provider is ElevenLabs.
- Training. Under Anthropic's terms for business customers, Anthropic may not train its models on what we send. Section 7 covers ElevenLabs.
- Your choice. When you upload a resume, you choose whether AI may read it. Without that, we cannot produce match estimates or drafts from that resume.
- Who sees the results. Only you. No employer sees your match estimate, your documents or your interview report on WiHire.
- What a match estimate is. It is WiHire's estimate of alignment between your resume and a job description. It is not your chance of being hired, an employer rating, or a check of eligibility.
- AI can be wrong. Review every draft before you use it.
- WiHire makes no hiring decision. The employer makes every hiring decision.
- Questions or help. If you think an estimate is wrong, or you need help using an AI feature because of a disability, email [email protected].
6. Tailored resumes, cover letters and thank you notes
We create these at your request and store them in your account. A tailored resume for a job-board listing includes your own contact details, as they appear in your resume, because you download it and send it yourself. We do not send it to anyone. The AI is instructed to reframe only what is in your original resume. Review every draft before you use it.
To give you a PDF file, we send the finished document to Adobe's document service, which returns the PDF to us.
7. Practice interviews
A practice interview is a voice session with an AI interviewer about a job you have marked as applied.
- Consent. Before each session we show a consent notice with the price. The session starts only when you choose to start it. We record that consent with the date, time, your IP address and your browser's user agent.
- Your voice. A practice interview is recorded. During the session your voice goes directly from your browser to our voice provider, ElevenLabs, which runs the conversation, records it and turns it into a written transcript. We also send ElevenLabs the job title and short summaries of the job description and your profile, so the interviewer can ask relevant questions.
- What WiHire stores. We fetch the transcript from ElevenLabs, encrypt it and store it with your report. WiHire does not store the audio.
- Scoring. We send the transcript, the job description and your profile to Anthropic, whose AI scores your answers and writes the report.
- How long. We keep the transcript for 90 days and then delete it. ElevenLabs keeps the recording and the transcript on its systems for up to two years, which is its standard period.
- Training by the voice provider. Under its standard terms, ElevenLabs may use the content of a session to improve its services, including its AI models.
- Who can see it. Only you. No employer receives the audio, the transcript or the report.
8. Job descriptions you upload
You can upload a job description you found yourself. We store it in your account and use it to produce a match estimate and any drafts you ask for.
9. Payments
Card payments are processed by Stripe. You enter your card details in a form provided by Stripe. We do not receive or store your full card number. We send Stripe your name, your email address and the amount, and we keep a record of deposits, paid actions and refunds.
10. What we share and what we do not
10.1 No sharing with employers of listed jobs
WiHire does not currently share your profile with employers of listed jobs. Viewing, saving, marking as applied, running a match estimate or preparing a document sends nothing to the employer. No employer or recruiter can access your resume on WiHire.
If we later offer jobs that employers post directly on WiHire, we will share your details with an employer only if you agree, for that specific job, each time, and we will update this policy first.
10.2 No ads and no sale
WiHire carries no advertising. We do not sell, rent or trade personal data.
10.3 Providers that handle information for us
Each provider handles your information for us under its own service terms.
| Provider | What it does for WiHire | What it receives |
|---|---|---|
| Supabase | Database, sign-in and file storage | Account details, profile, resumes and documents, transcripts and reports, payment records, activity events |
| Cloudflare | Hosting, security, bot check at registration, backup storage, and the document conversion service we run | IP address, browser details and pages requested; a copy of our database as part of nightly backups; documents while they are being built |
| Stripe | Card payments and refunds | Card details (entered with Stripe), your name, email address and payment amounts |
| Anthropic | AI model for reading resumes, match estimates, drafts and interview feedback | Resume text, profile details, job description text, what you enter for a thank you note, and practice interview transcripts |
| ElevenLabs | Voice for practice interviews | Your voice during a session, the session transcript, the job title and short summaries of the job description and your profile |
| Adobe | Turning tailored resumes and cover letters into PDF files | The finished document, including your contact details |
| Resend | Sending email | Your email address and the content of the message |
| Google Fonts | Fonts on most pages | IP address and browser details when the page loads |
| jsDelivr | Code library on some pages | IP address and browser details when the page loads |
10.4 Listing sources
Job listings come from sources such as Adzuna, USAJOBS, Greenhouse and TheirStack. We send them search words and a location to fetch listings. We do not send them your name, resume or profile. No listing source pays us.
10.5 Other cases
We may disclose information if the law requires it, to protect WiHire or its users from fraud or harm, or as part of a merger or sale of the business. In a merger or sale your information would move to the new owner under the same commitments, and we would tell you.
11. When you leave WiHire to apply
To apply for a job you follow a link to the employer's or job board's own site. That site is not ours. Its privacy policy and terms apply to everything you do and submit there. This Privacy Policy stops applying when you leave WiHire. We do not send your resume, profile or match estimate to that site. WiHire never submits an application and cannot confirm one.
When you follow a link, the site you go to receives the usual details of a web visit, such as your IP address and browser type. For some listings the link first opens the site of the source that supplied the listing. For example, "Apply via Adzuna" opens Adzuna's site, so Adzuna receives the click before you reach the employer.
We do not record the click on our servers. We record that you applied only when you mark the job as applied yourself.
12. How we protect your information
- Pages and connections use encryption in transit (HTTPS).
- Two-factor sign-in is required for every account. You sign in with your password and a code from an authenticator app.
- Resume files and documents are kept in private storage. A download link works for five minutes.
- The text we extract from your resume, and your practice interview transcripts, are encrypted with AES-256 before they are stored.
- We keep the resume file you upload. We take a fingerprint of the file at upload and check it again before the original file is served, so that a changed file is detected. To read the file and to build the documents you ask for, we make working copies in other formats and extract its text.
- We keep a log of key events on your documents, such as upload and deletion.
- We back up our database every night.
No system is perfectly secure. If you think your account has been misused, email [email protected] straight away.
13. How long we keep information
| Information | How long we keep it |
|---|---|
| Account and profile | Until your account is deleted |
| Resume files and extracted text | Until you delete the resume or your account is deleted. When you delete a resume, we remove its files from storage |
| Tailored resumes, cover letters and thank you notes | Until your account is deleted. We may remove a tailored resume after one year |
| Job descriptions you upload | Until you delete them or your account is deleted |
| Practice interview transcripts | 90 days |
| Practice interview reports and scores | Until your account is deleted |
| Practice interview recording | WiHire does not store it. Section 7 says what our voice provider keeps |
| Activity events | Until your account is deleted |
| Consent records | While your account is open. We may keep a record of what you agreed to after that if we need it to resolve a dispute or meet a legal duty |
| Payment records | For as long as tax and accounting rules require, including after your account is deleted |
| Backups | 90 days. Deleted information can remain in backups for up to 90 days |
14. Your choices and rights
You can ask us for a copy of your information, ask us to correct it, or ask us to delete it. We offer this to every user, whatever state you live in.
- Change your details. You can edit your profile and replace or delete your resumes in your account.
- Delete your account. Use "Request account deletion" on the Billing page, or email [email protected]. We review each request and complete it within 45 days. We refund your unused paid balance first, as the Terms and Conditions describe. We then delete your account and your personal information, except the payment records and other records described in section 13.
- A copy or a correction. Email [email protected] from your account email. We answer within 45 days. We may ask you to confirm who you are.
- AI reading of a resume. You choose this when you upload a resume. To withdraw it, delete the resume or email [email protected].
- Emails. We send emails needed to run your account. Each email with updates on your matches has a link to stop those emails.
Nothing in this policy limits your right to complain to a government agency.
15. Children
WiHire is for people aged 18 or over. We do not knowingly collect information from children under 13. If we learn that we have, we delete it.
16. Security incidents
If a security incident affects your personal information, we will tell you by email without unreasonable delay, and we will notify authorities where the law requires.
17. Changes to this policy
We may change this policy when we add or change features, change providers, or when the law changes. For material changes we email you at least 14 days before they take effect. We post each version with its effective date and keep dated past versions, which you can ask for at [email protected].
